Internal Processes & Team

  • General notes on how internal systems work
    • Most of our team consists of independent freelancers and creatives. Most are on Slack.
    • The main goal of our team is to bring world-class talent from around the globe to our American clients at midwestern pricing.
    • You’ll be in charge not only managing the progression of projects, but also for ordering tasks internally/delegating when you need things done.
      • If you’d like, we’d prefer you to manage the budget of the project internally, but not if you don’t want to. If so, you’ll need to understand our internal pricing structure – see below
    • Each project can have different team members depending on what we need and our budget
    • We don’t pay our freelancers until we get paid by our clients, unless it’s a really small project

  • Ordering Tasks Internally
    • Copywriting & Content
      • SEO Content: This is for lead generation websites, blog posting, and other SEO related content needs.
        • Always check in with Ryan on how much content we really need for the specific project. Absolutely MAKE SURE he does the keyword research in order to make sure our content is going in the right direction and targets the right keywords.
        • Order from Anna – you’ll specify how many words you want per page. https://alyky.com/agency-order-form
      • Creative Web Design Content: This is for custom designed websites that need a higher level of copy and branding.
        • Order content through Slack from Lisa Barry, Wordwell Creative
        • Always try to order the least amount of content necessary for the project, and then add more pages on if needed later in the project
        • Lisa’s team will do a content discovery call directly with the client.

  • Facebook & Google ads
    • Chelsey handles all of our ad campaigns. When we onboard new clients, she builds and optimizes.

  • Anything SEO related
    • Check with Ryan
    • Make sure you create ClickUp tasks and follow up regularly. Ryan has a lot on his plate, so things can get missed if you aren’t following up

  • Web Design
    • Steps to web design process:
      • Sales > Client Intake Form/Onboarding > Discovery Call > Written Creative Brief (include sitemap, vision, etc…) > Brand Guide > Content Writing > Web Design > Web Development > Site Migration/Live
    • When project is sold, you’ll Slack Josh about the project, clue him in on the direction we’re wanting to go, touching on basic stuff in the Creative brief, and then based on how many pages we’re going to do, offer him a price to see if he wants it and has the bandwidth to take it.
    • Once content is approved, you’ll send that content, brand guide, and creative brief to Josh in order to get started.
    • We want usually just the homepage design to start with, send to client for approval of direction, then once approved, have him design the rest of the site.

  • Web Development
    • Once design is approved, have Josh send all website assets so you can create a new development task for our development team.
    • Be sure website looks EXACTLY like the design.
    • Once finished, send to client for approval via email.
